Atlantic Aviation Group (AAG) has an exciting opportunity for a highly motivated, professional individual seeking a career within a fast-paced and rewarding aviation environment. Reporting to the Contracts Manager, the Contracts Administrator will be a key member of the Atlantic Aviation Group Commercial Team. The primary role of the Contracts Administrator is to support the administration of a range of aviation services contracts with specific responsibility for administration of AAG’s Tooling Lease Agreements. The position is based at AAG Facilities in Shannon, Co. Clare.

Duties and responsibilities are, but not limited to the following:

Essential Job Function

  • Support the Contracts Manager in managing timely contract turnaround (GTAs, aircraft storage agreements, tooling lease agreements, other) throughout the contract lifecycle.
  • Provide the timely drafting, execution and recording of AAG Tooling Loan agreements.
  • Monitor and record Tooling Loan Agreements, track critical dates/events to ensure AAG and customer are compliant with contract terms.
  • Liaise with internal stakeholders from Tooling, Logistics/Shipping and Finance to ensure Tooling Lease opportunities are supported and executed in a timely manner.
  • Record all Tooling Loan opportunities on an internal system and run reports as required.
  • Provide Finance with key contract terms for Tooling Loans (lease rates, delivery dates, etc) to support timely and accurate billing cycle.
  • Support the development and implementation of a new Document Management System within AAG.
  • Maintain AAG’s internal Document Management System to ensure accurate and timely inputting and updating of contractual data.
  • Support development of AAG’s Tooling Lease Platform as part of the overall Commercial team objectives.
  • Act as the focal POC for Customer and internal stakeholders for queries relating to Tooling Lease contracts.
  • Manage and help resolve customer queries in relation to Tooling Leases.
  • Provide an outstanding customer experience when dealing with the Atlantic Aviation Group client base.
  • Update internal systems in accordance with Atlantic Aviation Group requirements.

 Candidate Requirements

  • Minimum 3 years’ experience in a contracts or similar cross-functional environment in the aviation sector.
  • Excellent verbal and written communication skills, including strong interpersonal skills, teambuilding skills, and the ability to work as part of a team without creating adversarial relationships.
  • Understanding of databases and document management systems is required.
  • Strong proficiency in MS Office/Word is essential.
  • An energetic, dedicated approach combined with excellent organisation skills and a commitment to deadlines, targets and high work standards.

Typical Working Conditions

  • Must satisfy and maintain the required medical standard.
  • Work is performed at the AAG Hangar in Shannon.
  • PPE is provided by AAG, and its use is mandatory in the performance of your work.
  • Must satisfy and maintain airport security requirements.
